Notary services and marriage certificates

NOTARY CERTIFICATES

Below are the notary services of the Embassy:

  1. Authentication of acts;
  2. Authentication of signatures;
  3. Certification of the authenticity of the document;
  4. Confirmation of compliance of the copy with the original;
  5. Issuing copies of acts drawn up by them;
  6. Issuance of other notarial deeds provided for by law.

Note: Deeds authenticated or authenticated by the Embassy are subject to approval by the Ministry of Foreign Affairs and International Cooperation prior to use in Rwanda.

If you require a notarized document(s), the following requirements must be fully presented to the embassy.

REQUIREMENTS FOR DOCUMENTS ISSUED IN RWANDA

The documents must be signed and stamped by a notary public in order to verify with the Rwandan authorities that proper checks have been carried out.

  •  We require further authentication of documents by the Ministry of Foreign Affairs and International Cooperation, as it is the only authority competent to issue seals in Rwanda and to confirm the validity of the notary's signature and seal.
  • Photocopy of the applicant's ID card and proof of residence in Poland.
  • Photocopy of the identity card issued by the proxy.
  • Cover letter addressed to the Ambassador with a request for an Embassy notary public. (Please provide a valid physical address in Poland).
  • POWER OF ATTORNEY:
  • The power of attorney MUST contain full contact details, i.e. address, telephone and e-mail address of the principal (the person granting the power of attorney) and the proxy (the person receiving the power of attorney).
  • Cover letter addressed to the Ambassador with a request for an Embassy notary public. (Please provide a valid actual address in Poland).
  • A copy of the applicant's passport
  • Copy of applicant's Rwandan ID (if applicable)
  • A copy of a representative Rwandan ID card
  • Proof of address (utility bill or bank statement)
  • Proof of parental responsibility/relationship (if applicable)

SALE AND/OR MANAGEMENT OF REAL ESTATE AND LAND - POWER OF ATTORNEY:

  • Stamp of the local notary public on the power of attorney document
  • A photocopy of the applicant's government-issued ID
  • A photocopy of an identity document issued by the representative government
  • Photocopies of official title deeds to land and/or assets
  • Cover letter addressed to the Ambassador with a request for an Embassy notary public. Please include the following in your letter
  • The applicant's actual address in Poland and contact details
  • Names of their representative
  •  Property Location in Rwanda (Village, Cell, Sector, District and Province)

REGISTRATION AND MARRIAGE

The Embassy of the Republic of Rwanda invites Rwandans and other nationalities wishing to enter into a civil marriage in accordance with Rwandan marriage law. The Embassy of the Republic of Rwanda is the legally recognized registry office of the Government of Rwanda.

PROCESS AND REQUIREMENTS

  1. An appointment is required to submit a wedding notification at the Embassy.
  2. Couples wishing to get married at the Embassy of Rwanda in Warsaw are encouraged to make an appointment by e-mail at warsawconsularservice@minaffet.gov.rw.
  3. Both persons must be over 18 years of age,
  4. Copies of passport or ID card as proof of citizenship.
  5. One or both persons must be Rwandan citizens.
  6. The passport must contain a valid visa for stay in Poland;
  7. Copies of a valid residence permit
  8. On your wedding day, you must bring at least two other people to witness the ceremony and sign the documents (if an interpreter is needed, they must act as witnesses).
  9. A notice of marriage must be submitted in person to the Registrar by you and your partner. No one else can do this on your behalf.
  10. Civil weddings at the Embassy of Rwanda take place only during working hours (9:00-15:00) on Wednesdays and in exceptional cases on Fridays from 9:00-15:00
